Summary of the job:
Responsible for scheduling and conducting testing/exam sessions in accordance with Hallmark University, the Department of Education (DOE), and the Americans with Disabilities Act (ADA). Essential job duties include compliance with all rules and regulations of administering exams, implemented and enforced, including those set forth by third-party testing vendors/contractors. Ensure exam supplies are inventoried and replenished adequately; maintain security; communicate with all departments/individuals as necessary to inform and update of test results, scheduling, and coordinating tasks, events, and timelines; stay up to date on policies and procedures; update/maintaining spreadsheets and data; oversee SmartStart, online orientations, and presentations. Maintains cleanliness and organization in designated testing areas.

Essential Functions:
  • Verifies eligibility of testing candidates; communicates test procedures and rules; monitors candidates and resolves conflicts during testing to ensure a secure and quiet testing environment; reports any technical problems or academic dishonesty occurring during test sessions to appropriate levels.
  • Administer entrance and placement exams, including Wonderlic, Student Questionnaires, TEAS, Aviation Assessments, and more.
  • Prompt attendance is essential; employees must arrive on time every day.
  • Position involves primarily desk-bound responsibilities, requiring employees to remain stationed at their desks for the duration of their shifts.
  • Highly effective in scheduling and coordinating tasks, events, and timelines.
  • Basic troubleshooting for computers.
  • Manages/administers/proctors and schedules certification exams provided by Pearson VUE, EC-Council, ATI, CLEP, and more.
  • Oversees and supports technical enrollment orientation for students at the start of each term and delivers presentations as part of the orientation process.
  • Sustains database of test scores on the HU Portal and Colleague UI, updates necessary spreadsheets, certification rates, announcements, and prints certificates. Creates and maintains Excel spreadsheets.
  • Manages inventory of exams and supplies, checks test booklets, supplement book condition at the beginning and end of each test session.
  • Responsible for passwords, physical and virtual record security, and software updates.
  • Trains proctors and staff as needed.
  • Maintains confidentiality and security of exam questions and testing candidate information.
  • When required and necessary, notify the University President, Executive Chief of Staff, Department Chairs, and Deans of test results and any third-party or compliance inspection results.
  • Maintains cleanliness and organization in designated testing areas. Routine cleaning of testing stations is required to maintain a safe and sanitary environment.
  • Additional duties assigned.

Knowledge/Skills/Abilities:
  • Ability to pass Pearson Vue, FAA Exams, CLEP, and ATI certification exams, and any other exams added to the testing catalog.
  • Complete training for entrance and placement exams.
  • Understand Family Educational Rights and Privacy Act (FERPA) guidelines.
  • Computer and systems applications skills.
  • Advanced skills in Microsoft Office. Demonstrates experience and proficiency in Microsoft Excel.
  • Oral and written communication skills.
  • Strong observation skills and ability to follow procedures exactly.
  • Ability to prioritize and manage multiple responsibilities efficiently while maintaining accuracy and attention to detail.

Qualifications & Experience:
Preferred:
  • Experience delivering customer service and support.
  • Experience coordinating and scheduling tasks and events.
  • Strong observation skills and ability to follow procedures exactly.
  • Associate degree from an accredited college/university.
Required:
  • Must pass a comprehensive background check to include a TSA/FBI background check and must be able to obtain an FAA badge for related duties at a satellite campus.
  • High school diploma or equivalent.
